What we collect
Your name, email address, and password (stored hashed, never in plain text); your business's name, registration details, and RDO/TIN if you provide them; the income and expense transactions, invoices, bills, and receipt images you record; and basic account activity needed to operate the service (e.g. login timestamps).
TIN and other sensitive identifiers
Your TIN is encrypted at rest in our database — a raw database dump does not expose it in plain text. It is decrypted only when needed to display it to you or to generate your own tax forms.
Receipt photos and OCR
Uploading a receipt photo only stores it in our own storage so you can view it later — it is not automatically sent anywhere else. If you separately request OCR suggestions for that receipt, and this deployment has Google Cloud Vision configured, the image is sent to Google Cloud Vision (a third-party OCR service) so we can suggest the amount and date to record; if Vision isn't configured, no suggestion is generated and nothing is sent externally. This is the only third-party service we currently send document images to.
Who can see your data
Every screen you use only ever shows you your own business's records, never another tenant's — your transactions, invoices, bills, and receipts are enforced as isolated at the database level, not just hidden in the interface. Our own staff access your data only to provide support or fix a reported problem. We do not sell your data, and we do not use advertising trackers or third-party analytics that share your data for marketing purposes.
How long we keep it
We keep your account and business records for as long as your account is active, since your filing history and past transactions remain relevant to future BIR filings. If you want your account and data deleted, contact us using the details below.
